<p><strong>The following File Naming Conventions have been developed by the DCCCD District Information Technology Office to assure accurate transfer of documents and linkage of documents to appropriate faculty and curricula:</strong></p>
<p><strong> </strong></p>
<p><strong>1)      </strong><strong>File Naming Conventions:</strong></p>
<p><strong>a)      </strong><strong>Syllabi File Names:</strong></p>
<p>i)         Begin with the academic term identifier (i.e. – 2010FA).</p>
<p>ii)       The academic term is followed by a dash (‘-‘) character.</p>
<p>iii)     The full course section name follows (i.e. – ACCT-2301-2250).</p>
<p>iv)     The resulting file name would be “2010FA-ACCT-2301-2250.doc” (or .docx depending upon the version of Word used; the HTML converter can handle either Word format).</p>
<p><strong>b)     </strong><strong>Vita File Names:</strong></p>
<p>i)         Will be based on a unique identifier assigned to the faculty record; we have started referring to this as the Vita Number.</p>
<p>ii)       The Vita Number is likely to be the same format as the Colleague ID (that is, a seven-digit number).</p>
<p>iii)     This would result in file names such as “1234567.doc” (or .docx, depending upon the version of Word in use)</p>
<p>a)      To aid faculty in the naming of their vita files, an email blast will initially be sent to faculty, notifying them of their vita number.</p>
<p><strong>2)      </strong><strong>What does this mean for us?</strong></p>
<p>a)      Faculty should utilize the Syllabi File Name when naming their files to send to their designated location (Division Office for full-time faculty; Adjunct Faculty Office for adjunct faculty)</p>
<p>b)      Faculty will receive their individual Vita ID Number via an e-mail blast from District IT on or before June 15, 2010.  Faculty should use the Vita ID Number in naming their syllabus.</p>
<p>c)       Faculty will follow the Vita File Name convention outlined above to name their Vita file* and then send the Vita file to their designated location (Division Office for full-time faculty; Adjunct Faculty Office for adjunct faculty).</p>
<p>*If you have already sent your Vita to your designated location without your assigned Vita ID Number, DON’T WORRY.  Each Division office, including Adjunct Faculty Office will receive a datasheet with all faculty assigned to Cedar Valley and their Vita ID number.  Each designated area will be responsible for renaming the files, using the Vita ID number, and submit the newly named files for posting to the system.</p>
